How to share your availability

When you share your Calendly scheduling link, people can see your availability on your booking page and choose a time that works for them. No missed messages or double bookings, just easy meeting scheduling.

We haven’t played the ‘scheduling game’ since we bought Calendly. It’s in every email we send, and customers book instantly — saving us thousands of back-and-forth emails.

First, set up your availability in Calendly

Before you share your link, you’ll want to set up your meeting availability in Calendly. Here’s what that looks like at a high level:

  • Connect your calendar: Calendly syncs with Google, Outlook, and Exchange calendars to check your real-time availability and prevent double-booking. (No one can see the details of your whole calendar — Calendly only shows the times you’re available.)

  • Set your working hours: Define the days and times you’re open for meetings. For example, you might generally be open to meet from 9 a.m. to 4:30 p.m. (unless your connected calendar shows you as busy). You can also add blocks of unavailability to your schedule, like a set lunch break.

  • Customize availability for different meeting types: Further tailor your availability with preferences like buffers, limits, and booking rules in Event Types (which are meeting templates) so you only get scheduled when you want to be, ensuring you have time for focus work and other priorities.

My favorite part about Calendly is that you have full control over your calendar. You set the times you're available and everything else is blocked off, giving you space for focused work.

7 easy ways to share your availability

Once you set up your availability, you’re ready to start sharing! Calendly gives you many different options to share your availability, so you can choose what works for you and your business. Whether you’re scheduling over email, working on the go, or embedding your booking page on your website, sharing is quick and easy.

The simplest way to share availability? Copy your booking link from your Calendly web app, mobile app, or browser extension and paste it wherever you’re connecting with someone. You can even add your booking link to your email signature or social media profiles so people can proactively find a meeting time.

I love that I can share my scheduling link with clients and colleagues and easily coordinate meetings when I am available in real time. It minimizes the time I used to spend providing my availability (which could change), and makes it very easy for the other person to schedule a phone or video call.

You have two link options:

  1. Share the booking page for a specific meeting type, like a 30-minute intro call or 45-minute client check-in.

  2. Share a landing page with all of your meeting types and let customers choose which one they’d like to book.

Pro tip

Want to limit access to your booking page? Use the Single-Use Link feature to create one-time scheduling links that expire after the first use, giving you more control over your availability. 

2. Add hand-picked times to an email 

If you often schedule through email, use Calendly to add your calendar availability directly to your message. Pick the time slots you want to offer, then copy and paste those into the body of your email for meeting invitees to choose from.

Recipients will see the time options as clickable buttons, making it easy for them to schedule with you in just a few clicks. An easy scheduling experience makes a great impression on prospects and new clients!

3. Schedule on the go with the Calendly mobile app

Need to share your booking link while you’re away from your desk? Use the Calendly mobile app for iOS and Android to share your Calendly link no matter where your work takes you. From the app, you can: 

  • Copy/paste your scheduling link

  • Share your link via text, email, or other app

  • Create and share your QR code for easy in-person booking

Plus, you can use the mobile app to create Event Types, join meetings, book follow-ups, and review contact details, so you can stay connected wherever you are.

Pro tip

Download the Calendly mobile app before you head to a conference so you can share your booking link and schedule meetings with people you meet.

4. Share availability from your browser with the Calendly extension

If you find yourself jumping between tabs and tools throughout your day, use the Calendly browser extension to schedule wherever you’re working across Chrome, Firefox, Edge, and Safari. 

With the extension, you can share your availability right from your current browser tab. Copy and paste your booking links or add specific time slots into a message or email.

5. Embed your availability on your website

Turn site visits from potential customers into booked meetings at the height of their interest. With Calendly, you can add your booking page to your website in just a few clicks.

Adding scheduling to your website means prospects and customers can book with you at the height of their interest. They don’t have to wait for a reply to a “contact us” form, and you don’t have to worry about manually replying to inquiries or letting leads slip through the cracks. If you’re a service provider, online booking systems also create a great client experience, whether it’s their first appointment or their 10th.

Including a scheduling option on your website is simpler than it sounds! From your Calendly homepage, select the three dots next to your meeting type, then "Add to website." Choose between an inline embed, popup widget, or popup text. Calendly generates HTML code for you to drop into your website tool, no engineering required.

6. Share availability through integrations

With 100+ integrations, you can connect Calendly with the tools you already use every day and share your meeting availability right from your favorite platforms. That means easier, faster scheduling for you and your customers.

The Calendly-powered LinkedIn button works on my behalf and has allowed me to book nearly 200 new business meetings since I added it to my profile.

Here are a few examples:

  • LinkedIn: Add a “Book an appointment” button to your profile so prospective clients can book with you as soon as they’re interested (LinkedIn Premium Business only)

  • Linktree: Include a scheduling link in your social media bio so followers can book with you

  • Typeform: Embed your Calendly booking page in forms, surveys, and more

  • Mailchimp: Include links in email campaigns to drive demos or intro calls

  • Slack: Share booking links with teammates or external connections

7. Send an invitation to book right from Calendly

If you’re on a paid Calendly plan, you can share your availability via email directly from Calendly. In the email composer, you can include a specific scheduling link or hand-picked times, edit the message and subject line, add styling, and share your scheduling link or clickable times. You’ll also connect your email address so the message will come directly from you, rather than a generic or no-reply email.

You can even choose to automate a reminder nudge if your recipient hasn’t scheduled within a set timeframe after your initial email (one day, three days, or one week). If they book before the reminder is triggered, Calendly won’t send it.

Pro tip

Already know when you want to meet? Use the "Book meeting" button to instantly schedule on behalf of your customer, saving them a step while moving the conversation forward.

Make meeting invites polite and personal

Professional scheduling doesn’t have to mean impersonal! When you send someone your scheduling link, add a quick note to make your meeting invitation feel more human and helpful. 

Try these scheduling openers:

  • “I’m including a link to my booking page to make scheduling easy — please feel free to pick the date and time that works best for you: [link]”

  • “I’m looking forward to chatting about [specific topic]. Here are a few meeting time options: [add times to email]”

  • “I’d love to connect soon! You can book time on my calendar here: [link]”

To accommodate people who may still prefer old-school scheduling, many Calendly users like to ask invitees for their availability first, then share their booking link as an alternative:

“What dates and times work for you? You can also choose a time that works for you using my Calendly link: [link].”

Small touches like this can build relationships, boost booking rates, and make your scheduling experience feel more human — even when you’re using automation.
